How enquiry and journey information is intended to be handled, and how to contact us about privacy.

1. Who this policy covers

This draft describes the intended handling of personal information for enquiries and transfer bookings through pattayataxis.com, using the trading name Pattaya Taxis. It covers customers, people making enquiries and passengers whose information is supplied to arrange a journey.

Before publication: add the full legal name and contact address of the person or organisation responsible for the information. Confirm any applicable representative or data-protection contact. The trading name alone does not complete this identification.

2. Information involved

The existing booking form and booking records can contain:

Your name, email address and telephone number.
Journey route, pickup and return dates/times, pickup and destination addresses, flight numbers, passenger count, luggage count and vehicle choice.
Messages, booking notes and change or cancellation requests.
Booking references, quoted fares, booking/payment status, confirmation history and records of acceptance of booking terms.
Your optional follow-up preference and records needed to send booking emails, including delivery attempts.

The website and its hosting/security services may also process technical information such as IP addresses and request logs. The booking plugin uses an IP-derived hash for abuse rate limiting. The full hosting, CDN and cookie inventory still needs verification.

No online payment provider is integrated into the reviewed booking plugin. Do not send card numbers, security codes, identity documents or passwords through booking notes or email.

3. Why information is needed

Contact and journey details support quotations, availability checks, communication and transfer arrangements. Booking records also support customer requests, dispute handling and security. Required form fields are marked; without essential information, a request may not be processed.

The proposed legal bases are pre-contractual steps or performance of a contract for booking work, legitimate interests for proportionate security and administration, legal obligations where applicable, and consent for optional follow-ups. Their application must be confirmed against the final operating model.

A privacy notice is not blanket consent. Optional communication must remain separate from acceptance of booking terms.

4. Booking emails and optional follow-ups

Essential messages concern the transfer you requested: receipt of your request, availability or payment arrangements when introduced, confirmation, pickup information and changes. These must not be confused with optional promotional contact.

The current form offers a separate optional thank-you and feedback email. You can decline it or withdraw that preference through the private booking link where available, or by emailing us. Withdrawal does not affect earlier lawful processing or essential booking communication.

This draft does not authorise a newsletter, advertising audience upload or unrelated marketing campaign.

5. Drivers and service providers

To arrange an accepted transfer, relevant journey/contact information may need to be given to the assigned driver or transport provider. Administrative and technical providers may process information for hosting, security, website maintenance, backups and email delivery. Advisers or authorities may receive information where necessary and lawfully justified.

Access should be limited to the information needed for the relevant task. For example, a driver may need the pickup details and a contact number, not unrestricted access to the customer database.

Before publication: identify actual transport arrangements and technical providers, their roles, access and contractual protections. Confirm any other sharing, including whether any data sale or advertising use occurs, rather than assuming it does not.

6. Storage, retention and security

The reviewed plugin stores booking, contact and email-queue records in the website database. It uses private booking-management links; anyone with such a link may be able to view or request changes to that booking. Keep the link private.

Retention decisions should consider the duration of an enquiry or journey, unresolved complaints, applicable accounting/legal duties and proportionate security needs. Backups and logs require their own retention arrangements.

Before publication: approve category-specific retention periods or sufficiently specific criteria and implement deletion/anonymisation and backup expiry. The reviewed plugin does not establish an automatic complete retention/deletion schedule. Confirm actual access controls and security practices; this draft is not evidence that they are implemented.

7. Cookies and overseas processing

Browser technologies and server logs depend on the site's active WordPress, hosting, CDN and third-party configuration. This policy cannot confirm that only essential cookies are used without an actual audit.

Hosting, email and other suppliers may process information outside Thailand. Their locations and the appropriate transfer arrangements must be established before this notice is finalised.

Before publication: list actual cookie/tracking purposes and lifetimes, supplier locations and transfer safeguards. Configure any required non-essential tracking consent before loading those technologies. Merely visiting the site is not treated as consent.

8. Your privacy rights

Subject to applicable conditions and exceptions, you may request access or a copy, correction, deletion, restriction or portability of personal information; object to certain processing; and withdraw consent where it is the basis used. You may also complain to Thailand's competent personal-data protection authority.

Email bookings@pattayataxis.com describing your request. Proportionate identity checks may be needed. Information may have to be retained where a lawful obligation or exception applies; the reason should be explained. Requests must be handled within applicable legal time limits.

9. Other passengers and sensitive details

If arranging a journey for someone else, share this notice with them and provide their information only with appropriate authority. Do not send unnecessary personal details about children or other passengers.

Passenger counts can include children. Contact the team about practical seating or access requirements, but avoid putting medical diagnoses or other sensitive information into free-text fields. Any necessary sensitive-data collection needs a separate appropriate process and lawful basis.

10. Payments and future updates

Full advance payment is the intended future requirement to secure a booking, but payment methods have not yet been selected. No provider, card-storage arrangement, transfer location or refund-processing practice is represented as currently implemented here.

Before introducing payments, this policy must describe the selected provider, data involved, purposes, retention and sharing. Other material changes also require an updated notice. An effective date will be added only after this draft has been completed and approved.
